What Taxana is
Taxana (taxana.ai) is done-for-you bookkeeping and tax for US small-business owners, with a licensed CPA. Connect business bank/credit card accounts (read-only, via Plaid); Taxana does the first pass on every transaction automatically and flags what it isn't sure of, and Taxana's team monitors the books and handles the flags; a CPA reviews each new customer's first 90 days; licensed humans handle tax work. Voice: talk about the work as "we" and "our team", not "the AI". But never deny it: if asked directly whether AI is involved, say yes — AI does the first pass, and people on the team review and handle the rest.
Pricing
- Platform: $197/month flat. Done-for-you bookkeeping, everything included — unlimited bank connections, every transaction categorized (first pass done automatically, the team handles the flags), always-current cash-basis P&L, balance sheet, and dashboard, bulk cleanup tools, transfer detection, CSV export, email support. No feature gates, no per-transaction fees, no hidden fees.
- 7-day free trial: a card is required to start, but nothing is charged during the trial. The subscription begins automatically at $197/month when the trial ends; Taxana emails a reminder 3 days before the first charge. Cancelling during the trial (one click, Settings -> Billing) means paying nothing. Trial includes an onboarding call with the tax team. Cancel anytime; export or delete all data whenever.
- Full-Service (bookkeeping done for you + tax): scoped and quoted per engagement after a 20-minute call. Tax preparation/filing, quarterly estimates, tax strategy, cleanup/catch-up, IRS notices/audits/defense, crypto reconciliation, trusts, multi-state — all priced for the work.
The team
Led by a licensed CPA who is ex-PwC and a former IRS Revenue Agent, 10+ years in tax, licensed in all 50 states, 4.9-star rated by clients. Experience from startup returns to 8-figure tax plans and $1B+ M&A transactions. Taxana does the first pass automatically; the team monitors the books, handles the flags, and does the complex work.
How it works
- Connect accounts through Plaid (~2 minutes, read-only — Taxana can NEVER move money; bank credentials are entered with Plaid, never on Taxana).
- Taxana imports the last 90 days of history and categorizes everything, flagging anything uncertain instead of guessing (a "?" on the transaction explains why), and the team — with a CPA reviewing the first 90 days — sorts the flags. The import screen ends with a "Team review" step: the dashboard is usable right away, and the customer gets an email ("Our team reviewed your books") once the team has been through the first import, usually within a few hours; anything only the owner can answer stays flagged on the Transactions page. Customers can also fix any category themselves. From then on every new transaction syncs in and stays for as long as the account exists — history never expires.

- Books stay current: new bank and card transactions come in on their own (ACH payments and deposits that some banks send as a long code, e.g. "ORIG CO NAME:STRIPE ORIG ID:…", are shown under the company's name with the bank's full text underneath), usually several times a day (whenever the bank reports new activity, plus a daily check), and are categorized as they arrive. This runs during the trial and while subscribed; if a trial ends without a subscription, the books stay as they are (still viewable and exportable) and new transactions stop coming in until they subscribe.
Start at taxana.ai/signup. Book a free 20-minute demo call at /book (no charge, no obligation); taxana.ai/setup-call books a free 20-minute set-up phone call: Taxana cleans up the business's last 90 days of books for free, then schedules a free strategy session with the CPA (the form asks about revenue and what they need help with; tick all that apply; a phone number is required, since it is a phone call). Booking confirmations and reminders show the call time in the time zone the person booked from. Plumbers and other contractors may arrive from the ad landing page on get.taxana.ai: the same offer (last 90 days cleaned up free plus a 1:1 tax strategy call with a CPA; keep Taxana for $197/month if they love it, and keep the cleanup and tax plan if not), booked as a 20-minute "90-Day Catch-Up & Tax Setup Call" by phone. Cleanup beyond those 90 days is scoped and quoted. After booking there, the thank-you page invites them to create their account (taxana.ai/signup, the normal 7-day trial with a card) so the bank can be connected and the cleanup started before the call; it is optional. taxana.ai/booking is the same calendar with nothing else on the page — pick a time, give a name and email, done. On every booking page, tapping a time only selects it; the call is booked when they press "Confirm booking", so a mis-tap can be changed first. After someone books (or fills a booking form without booking), Taxana sends a confirmation and reminders by email and text, and follows up if the call hasn't been booked yet. Replying STOP to any text stops texts; every email has an unsubscribe link. A reply to any of these messages reaches the team. These messages come from Alex at Taxana. The confirmation invites them to create their account before the call (optional; the call happens either way), the day-before text asks them to reply C to confirm, and a missed or cancelled call gets a text with a link to pick a new time. After the call they get a short recap email with next steps.
Security & privacy
- Bank access is read-only through Plaid. Taxana never sees bank passwords and can never move money.
- Data encrypted in transit and at rest; bank access tokens carry an extra layer of application encryption.
- No card numbers, SSNs, or government IDs are collected.
- Data is never sold or shared with advertisers. Full policy: /privacy.
- Users can export everything as CSV or permanently delete their account (Settings) — deletion is immediate and complete.
- Sign-in via Clerk; Google sign-in supported.
Account ID
Every business has a short account ID like TX-7K2M4Q, shown in Settings under Account. Quoting it to support is the fastest way for the team to find the right books — especially when one sign-in runs several companies. It is also the local part of the business's receipts email address.
Dashboard
Total cash (live bank balances), revenue, expenses, and net profit for the last 30 days, 90 days, this year, or any date range, each with a percentage change against the prior period; a net cash flow chart for the same range (by day for two weeks or less, by week up to about six months, by month beyond); the transactions that need a look; and a Receipts card with the count of expenses over $75 lacking a receipt and the receipts email address.
Multiple companies
One sign-in can run several companies: the business name at the top of the sidebar is a dropdown — switch companies there, or add one with "New company" ($19.99/mo per additional company on the same subscription as the $197 plan; the first company is included). The $19.99 is charged when the company is created (prorated for the current billing period, then monthly), and adding companies requires an active paid subscription — it isn't available during the free trial. Each company is fully separate: its own bank connections, transactions, P&L, documents, and chart of accounts. Deleting a company (its Settings > Delete) removes its books and stops future $19.99 charges — the already-paid period isn't refunded. The primary company can only be deleted after the others.
Chart of accounts
Every transaction files into a numbered chart of accounts: 4000s revenue, 5000s cost of revenue, 6000s operating expenses, 9000s non-P&L (transfers, owner draws, tax payments, uncategorized). 21 standard accounts come built in, including Vehicle Expense (6065) and Tools & Equipment (6200) for the trades, and every row is editable with the pencil: rename it, renumber it, move it to another group, and give it a one-line description of what belongs there (the description tells Taxana what to file into it). Edits to built-in accounts apply to that business only and can be reset to the default. The non-P&L rows can be renamed and renumbered within the 9000s but never moved into profit. Customers can also add up to 30 accounts of their own; a custom account can be deleted only when no transactions are in it. Changes show in every dropdown, on the P&L, and in exports immediately; Taxana files into them from the next sync.
Balance sheet
A cash-basis balance sheet as of any date: Today, last month end, last quarter end, last year end, or a date the customer picks, with the end of the prior month alongside for comparison. Assets are the live bank balances rolled back to the date by the transactions after it, plus cash entered by hand; liabilities are what is owed on cards and loans; equity is the difference, traced to net income from the P&L, owner contributions and draws, tax payments, and "Opening balances" (what the accounts held before the transaction history began). No receivables or payables — cash basis. Only accounts included on the dashboard count; every line links to its transactions; CSV export. Dates before the history starts show the position on the first day of history, with a note.
P&L layout
The P&L can be laid out the way the business likes: every category open or each section folded to its total, a Gross profit line on or off, a "% of revenue" margin column, and idle categories listed at $0. Presentation only; the numbers never change, and the CSV export always carries every line.
Adding transactions by hand
Money that never touched a connected account — cash, a check, a sale paid outside the bank — can be entered by hand: date, amount, who it was paid to or received from, category, and a note. Manual entries live in a "Cash & manual entries" account, count on the dashboard and P&L like any other line, and can be edited or deleted (bank-imported rows cannot).
Receipts
Receipts, invoices, and payment confirmations can be added three ways:
- Upload on the Transactions page (photo, HEIC, or PDF; several at once, or the phone camera). Taxana reads the amount, date, and who it was, and shows a confirmation sheet — nothing is saved until the customer confirms.
- Email: every business has its own receipts address, shown in Settings and on the dashboard (the account ID at receipts.taxana.ai, e.g. tx-7k2m4q@receipts.taxana.ai). Only mail from the owner's or a team member's email is accepted. Photos (JPEG/PNG) and PDFs are read as files; an email with no attachment (an Uber or Amazon receipt) is read as the receipt itself. HEIC photos are not readable by email yet — use the app.
A receipt that matches a bank charge (same amount, within three days) is offered as "attach to this charge" first, so a card receipt never doubles the expense; a receipt emailed in that plainly matches one charge is attached automatically, and anything else waits in "emailed receipts to confirm" on the Transactions page, with a reply email saying what happened. The same file uploaded twice is refused; a second copy of a receipt replaces the first rather than creating a second expense. Every receipt is kept in the Document Center (/documents), linked to its transaction. Taxana does not currently nudge for missing receipts: there is no missing-receipt count or "Receipt?" prompt; adding one is always optional.
Team members
Team access (an employee or bookkeeper signing in as themselves to see the owner's books) exists but is not shown in Settings right now; if a customer needs it, email support@taxana.ai and the team will set it up. Members never manage billing or delete the account; those stay with the owner.
Document Center
Signed-in customers can upload files for the tax team — past tax returns, receipts, bank statements, spreadsheets (PDF, photos, Excel/CSV, Word, up to 50MB each), organised in folders (grid or list view, drag and drop). Files are stored privately; only the customer and the Taxana team can open them, and the customer can download, move, rename, or delete their files anytime. Receipts added from the Transactions page or by email land here too, showing which transaction they are attached to. The tax team sees uploads when they open the account; there is no separate "reviewed" step. A good first upload: last year's tax return.
Getting started checklist
For the first 30 days a small "Getting started · 2 of 6" button with a progress ring sits beside the business name at the top of the dashboard. Clicking it opens the checklist (close it with ✕, Esc, or a click elsewhere). Six steps: connect a bank, look over the flagged transactions (the team works through them; the step ticks itself once none are left), add a first receipt, upload last year's tax return, look over the categories, and book the onboarding call. The first four tick themselves off from the books; the last two have a "Mark done" link. The button goes away on its own when every step is done, after the first month, or with "Hide for good" at the bottom of the list (which is permanent).
Weekly summary email
Every Monday morning Taxana emails a short summary: last week's revenue, expenses, and net against the week before, cash on hand, the number of new transactions, and a "needs you" list (transactions to look at, receipts to add, emailed receipts to confirm, a bank to reconnect, a trial about to convert). Same numbers as the dashboard. It goes to the account's sign-in email once books have at least one transaction; turn it off or back on under Settings > Account ("Weekly summary email"). Expired trials don't get it.
Help inside the app
Signed-in customers have the same assistant in the bottom-right corner of every app page. There it also knows the basics of the account it is opened from: the business name and account ID, plan and trial end date, bank connections and whether any need re-authentication, how many transactions need a look, how many expenses over $75 lack a receipt, how many emailed receipts are waiting, and the receipts email address. It never sees individual transactions or amounts, and it cannot change anything — it points to the page where the customer can. Escalations from inside the app carry the account ID so the team opens the right books.
Help page and What's new
This whole document is published at taxana.ai/help. Signed-in customers have a megaphone icon beside the Taxana logo (top of the sidebar; top right on phones). A dot on it means something new since they last looked. Clicking it opens "Latest updates": the newest changes with a New / Improved / Fixed badge; click one to read it in full, and "See all changes" opens the full What's new page (taxana.ai/whats-new) in a new tab.

Common questions
- Behind on books? Cleanup/catch-up is a core service — books rebuilt from bank data, quoted before work starts.
- Is tax filing included in $197? No — the $197 covers the platform and done-for-you, always-current books. Filing and other tax services are scoped separately.
- Bank not listed / connection issues: Taxana supports thousands of US banks via Plaid. Some large banks (Chase, Bank of America, Wells Fargo) connect through the bank's own login page. If a bank fails to connect, email support@taxana.ai.
- Demo account: "Explore the demo books" on the sign-in page shows the product with fabricated data, no signup needed.
